Following are some instructions to assist you in this role. PLEASE ENSURE YOU DOUBLE CHECK THE DATE AND TIME OF THE SESSION YOU ARE CHAIRING.
- Prior to your session start time, please ensure you visit the registration desk for messages and to collect speaker gifts. Please note: Free Paper presenters do not receive a speaker gift. The registration desk is located in the main Foyer of the Town Hall.
- Start the session on time (even if people are not back in their seats!! So you may need to do a bit of cat herding 5-minutess before with a bell in the food area prior). Please observe strict time keep throughout the session. A bell will be provided for your use to help you ensure sessions run to time. Usually you would 'ding' the bell when the speaker has 2-minutes left to talk. Let the speaker know this prior to the session starting so they know what the 'ding' means! Then do what ever you need (polite but firm) to make them stop when time is up.
- Patrick Wall lecture is 55-mins NO questions
- Keynote presentations are 30-mins then 10-mins Q&A immediately after
- Broadfoot Trust presentation is 10-mins NO questions
- Clusters are 15-min talks (except Matt Dua who has 2x 15-mins) and the panel discussion follow for 10-mins together - try for one question
to each speaker if possible
- Free Papers are STRICTLY 8-mins with 2-mins questions immediately following
- the ACC speaker - we will need to moderate the Qs carefully (Karen will try come help) - Remind delegates to switch cell phones to silent. Don't tell them to turn their phones off though, otherwise they won't be able to use the mobile app. Remind them to submit their questions via the app in each session they're in.
- Introduce the speaker to the audience. Speaker bios are available on the SPEAKERS page of this website or the NZPS Mobile App, and will be up on a slide for the audience to read prior to the speaker's talk. Bios are not to be read out in full but are for your reference. Just saying "and our next speaker is XX who will be talking to us about YYY - and as before their bio is on the APP" should be sufficient.
- Coordinate the questions from the APP. The questions are visible in each session you're in under the "View Submitted Questions" button. Be prepared with one question of your own to start with in case there is none in the app. For the panel discussions try and ensure each speaker gets at least one question.
- Make a closing statement. "e.g. Sadly that is all we have time for - I am sure that XX would be delighted to chat further over afternoon tea"... to suit.
- Thank the speaker for their contribution to the meeting and if appropriate hand over gift. **Remember that your thank you and gift hand over needs to be WITHIN the assigned Q&A time not in addition to it!
- Subject to speaker permission, PPTs and audio recordings of presentations will be available on the conference website post conference. An email and password will be sent to all delegates after the event has concluded.
- If there is a break time coming up next remind everyone to be back in their seats promptly by XXTIME. Encourage them to engage with the posters and exhibitors during the break.
For the chair of the Saturday 9.50-1145 session:
- After the final free paper (Carmen Holdaway) i.e. 11.45am - Karen will try be ready to jump in here - but in case she is tied up "Now it is time for the NZPS AGM. We ask that all NZPS members please remain in their seats for this and that all non members please head downstairs to enjoy the posters. Lunch will be served at 12.30pm.

- Following are the judging forms for your use.
- You only need to judge the free papers that are listed on the forms. A number of free papers are not eligible to be judged.
- All judging forms need to be completed and given to Donna at the registration desk at the end of each day and by 4.00pm Saturday 21 March 2026 at the very latest.
- Awards available: 'Best Oral Presentation' and 'Best 1st Presentation at an NZPS Conference'.

- Please download the judging forms via the button below.
- You only need to judge the posters that are listed on the forms. A number of posters are not eligible to be judged.
- The posters are available for your to view and judge at any time during to the conference.
- Posters are available on display onsite at the conference or on the mobile app.
- All judging forms need to be completed and given to Donna at the registration desk by 12.00pm Saturday 21 March 2026.
- Award available: 'Best Poster Display' & 'Best TikTok Video'.
